Title 35. Approval of a Five-Year Planned Service / Maintenance Agreement for a Security Management System with Johnson Controls, Inc. in the Amount of $231,597
Strategic Priority Good Government
Description Johnson Controls, Inc. will provide maintenance support services for the P2000 Security Management System and related equipment to ensure optimal performance, system integrity and reliability. This agreement will reduce system downtime and limit costs associated with system maintenance. Services include: inspection and preventive maintenance, database backup, software upgrades, repair materials for covered equipment, compliance assurance, emergency service, training and 24-hour customer support. This is a sole-source service agreement, as Johnson Controls, Inc. was the original installer of the P2000 Security System. Staff presented the five-year renewal at the December 2, 2020 Commission meeting and received approval for year one (Jan 1 – Dec 31, 2021) in the amount of $45,375.00. The Commission advised staff to inquire if the vendor would provide an additional discount to the yearly renewal (previously 4%) given the impacts of COVID-19. Following the December 2nd meeting, staff reached out to the vendor and received a revised quote for the five-year agreement. The renewal terms are as follows:
Year Total Annual Dollar Amount Payment Frequency Jan 1 – Dec 31, 2021 $44,502.00 Quarterly Jan 1 – Dec 31, 2022 $45,393.00 Quarterly Jan 1 – Dec 31, 2023 $46,301.00 Quarterly Jan 1 – Dec 31, 2024 $47,228.00 Quarterly Jan 1 – Dec 31, 2025 $48,173.00 Quarterly
