Recommend approval of Contract Modification No. 3 for City-Wide HVAC Maintenance with Edge Air Conditioning and Refrigeration(D) in the amount of $140,000.

City staff maintains nearly one thousand air conditioning units at City facilities; including regular air filter replacements, coil cleanings, fan belt replacements and related maintenance items.  City staff also repairs and replaces air conditioning units when necessary.   However, when the work load exceeds staff capacity to meet the need, and in emergency situations, a specialized mechanical contractor is required and the City currently contracts with Edge Air Conditioning and Refrigeration (Edge).   

The original contract with Edge was approved by Council on July 20, 2017 in the amount of $83,400.   The contract included three one-year renewal options.  Contract Modification No.1 (approved by Council on November 20, 2018) renewed the agreement for an additional year and increased the contract amount by $211,400.   Contract Modification No. 2 (approved by Council on August 13, 2020) renewed the agreement for an additional year and increased the contract amount by $100,000.  Staff recommends renewing the agreement for the last available extension period and increasing the total amount by $140,000 to meet current projected needs.   The contract will be re-bid in 2022.
