Recommend approval to award an annual contract for heating, ventilation, and air conditioning (HVAC) maintenance to Boaen Mechanical Services, Inc. in the amount of $63,948.00. This contract will be used to maintain the Water Supply and Treatment Department’s HVAC systems. The HVAC systems are required to provide adequate cooling for the variable frequency drives, which control the speed of induction motors and the pumps involved in the distribution of potable water.   Since the variable frequency drives generate a large amount of heat, constant HVAC operation is required at all times to prevent the drives from overheating and malfunctioning.

The lowest bid was submitted by Southern Atlantic Mechanical, a non-local company, in the amount of $63,948.00. Boaen Mechanical Services, Inc., a local company, submitted a bid of $64,581.02. The City of Savannah’s Purchasing Ordinance states that in the event a local vendor submits a bid that is within 2% of the low bid submitted by a non-local vendor, the local vendor shall be afforded the opportunity to match the non-local low bidder’s pricing. Since Boaen Mechanical Services, Inc.’s original bid was within 2% of the low bid, it was offered the opportunity to match the low bidder’s pricing. Boaen Mechanical Services, Inc. agreed to match the low bidder’s pricing.
