Recommend approval to procure technology enhancements from Media Rushworks, LLC in the amount of $65,021.00.  These enhancements will be used by the Office of Public Communications to upgrade existing technology at City Hall.  The technology enhancements planned for City Hall will include the following:

• Replacement of non-functioning cameras in the second floor Media Room in City Hall with new high-definition, robotic cameras to be controlled from the fourth floor Control Room. The cameras in the Media Room were originally installed in 2001 and have not been functional since 2014.

• Replacement of cameras in Council Chambers with new high-definition, robotic cameras to be controlled from the Fourth Floor Control Room. While still functional, these cameras are standard definition and are nearly 12 years old, the end of their functional life.

• Replacement of the Control Room switch, the device that accepts all camera and other video inputs and allows for live switching of these inputs during coverage of Council Work Sessions and Meetings. The new Rushworks V-Desk system consists of a hardware/software solution that provides a user-friendly touchscreen interface that will streamline live coverage of the meetings. It replaces a Windows XP based system that was purchased in 2002-2003.

• Installation of all new cabling between the cameras and the fourth floor Control Room.

The method used for this procurement was the request for proposal (RFP), which evaluates criteria in addition to cost.  The criteria evaluated for this RFP were qualifications and experience, technical capabilities, references, fees, DBE vendor participation, and local vendor participation.
