16. Authorize the City Manager to Execute a Contract for a Facilities Capital Improvement Planning and Budgeting Software System from Gordian Company, for up to $137,836 (Event No. 8291)
Recommend approval to execute a contract for a facilities capital improvement planning and budgeting software system from Gordian Company, for an amount up to $137,836.
The program involves: 1) a facility assessment to identify the age, condition and remaining life of short-lived facility components, 2) a cost estimate to replace those short-lived facility components, 3) a schedule of recommended replacement of those components over time, and 4) this information will be used to populate a database within a proprietary facility capital budget planning software program. The software program will assist the City in more accurately projecting facility-related costs over time resulting from the expiration of short-lived items, such as: roof coverings, air conditioning systems, water heaters, flooring, paint and other components that must be replaced over time to ensure a safe and healthy workplace. The program and associated budgeting should also help prevent unexpected expenses and shocks to the general fund when such replacements are required.
This purchase will be made using Sourcewell Contract No. 071415-GGI Effective 9/15/2015-4/15/2021.
Per Section 2-4154 of the City’s Purchasing Ordinance, the City may purchase goods or services through the use of a corporative contract. The contract used for this procurement is a Sourcewell contract. It was competitively bid by Sourcewell.
